Handover Note


This note covers the installation instructions for the repo, as well as a summary of tasks that you should do immediately upon handover (as well as how to do them).

Please refer to the how_to_do.md file in this directory for a list of your tasks/responsibilities, as well as step-by-step instructions on how to do them. The other_tasks.md file contains a list of other responsibilities that were listed in older documentation, but I have yet to be asked to do them (or no longer need to do them).

Note: IT Reps are responsible for the maintenance and update of this documentation.

Accessing the Repo

Below is a step-by-step guide to accessing and installing the repo.

Note: This is based on a Windows PC, so please use corresponding unix/linux commands where relevant.

Pre-Requisites: Ensure that your predecessor has added you to the list of contributors for the repo.

  1. Go to: https://jekyllrb.com/docs/
  2. Follow Steps (1) and (2) in order to install all the necessary packages etc.
  3. Go to: https://github.com/OUBaC/OUBaC.github.io
  4. Clone the repo to your computer (via command prompt or whatever you are using)
  5. cd to the repo
  6. Run the command: bundle update to update the gems used for the site.
  7. Run the command: bundle exec Jekyll serve to spin up a local version of the website
  8. Browse to http://localhost:4000 to see the website (if this doesn’t work, then something has gone wrong in the above steps)

Handover Tasks

Please make sure you receive the following files from your predecessor:

  1. Passwords.docx - Contains the login details for all useful accounts.
  2. IT stuff.docx - Legacy document, but seems to be passed down year-on-year anyway.
  3. ` IT Officer info.docx - Legacy document, but seems to be passed down year-on-year anyway. This does contain a longer list of responsibilities/tasks than is documented in the how_to_do.md file, but I have only documented the stuff I have actually done. See other_tasks.md` for these tasks that I have not yet been asked to do.

Please make sure to do the following upon taking over the role:

1 Login to the OUBaC IT Rep Google account and Gmail
- Gmail: For communications with other communities, companies etc.
- Drive: Contains club-related files, photos, and forms.

Note: Login uses two-step verification. For the first time, you will need someone to authenticate the code for you.

- Make sure to add your phone to the list of authentication devices so you can self-authenticate in the future.
2 Update details on Fasthosts: https://www.fasthosts.co.uk/

- We use Fasthosts as the domain host.
- Just need to update the contact name (billing is done through the club account automatically and the contact address is done through the IT Rep Gmail).
